The Company with the name COSMOCHEM SA, seated at the Municipality of Nea Ionia, 96 Marinou Antypa str., Attika Greece, and with General Commercial Registry No (ΓΕΜΗ) 006225701000, hereinafter referred to as ‘COSMOCHEM’, always pursues compliance to personal data protection provisions applicable wherever its business activity is developed. We, at COSMOCHEM we are committed to protect personal data and we are crystal clear with respect to the data we collect and the way we use them. COSMOCHEM as the Data Controller processes the personal data of clients, suppliers, business partners a, employees as well as any natural person considered a Data Subject as the case may be.
1. TYPE OF DATA AND MEANS OF COLLECTION
COSMOCHEM collects and processes basically common personal data which are required for commercial and professional communication purposes with the data subjects and/or the business they are occupied (e.g. clients and suppliers data and their personnel and partners). Specifically, COSMOCHEM processes data such as Name/ Surname, address, phone and email contact details, professional activity. Additionally, in the framework of professional relationship with employees and partners, COSMOCHEM may process further categories of personal data, even data of special categories (sensitive personal data) subject to the terms and conditions provided in the employees special data protection policy notified to them.
COSMOCHEM collects the personal data under process, normally, from the respective data subject.
We may receive information about you though (such as your full name, your position in our client’s, supplier’s or partner’s business, your email and your phone number) from our client, supplier or partner in the event that you are the designated contact person in the course of our business relationship.
Additionally, we may collect publicly available information either from freely accessible sources, e.g. commercial registries, or from databases subject to compliance with the terms governing their operation.
Finally, we may collect information from the logs of our internet servers e.g. your internet address, the operation system and the browser type (“Use Data”), in order to use them for the management of our systems and the enhancement of our internet site. The collection of these data is performed by means of cookies or other relevant technologies which are stored in your device and help us improve our internet site and potentially to provide and more personalized services and information. 2. PURPOSE OF PROCESSING – LEGAL BASIS
We are processing your data in the framework of our business relationship with our clients and suppliers; and also with the purpose to create new commercial and business relationships e.g. to promote and provide products and services to existing as well to prospect, new clients, to explore cooperation opportunities or to comply with our contractual obligations e.g. in order to deliver offers and products, to inform you an be informed for the products and provided services, to explore new areas of potential cooperation, to promote products and services based on your actual and current needs, as identified in the course of our existing cooperation, to invoice you and to comply with our financial obligations accordingly.
The process of your personal data is performed on the legal basis of exploring the opportunity to contract or to conclude a business transaction and/ or to perform under an existing contract or transaction as well as of promoting the legitimate interests of our business e.g. promotion of our products and services. In several occasions we may also use your data for legal compliance purposes.
3. PERSONAL DATA PROCESSING
COSMOCHEM processes your personal data only to the extend required to perform the process action for which they are intended.
Your personal data are subject to processing at the central facilities of COSMOCHEM located at Nea Ionia – Attika – Greece, where all technical and administrative measures are applying for their legitimate and secure processing. Hosting and storing of you data is mainly concluded by electronic means in our company’s data room located also at the aforementioned COSMOCHEM’s central facilities.
No third party has access to your data except if such access is required by law (e.g. for tax audit purposes). As an exception, access to your data may be allowed to partners and contractors to whom we have outsourced the provision of support – technical and administrative – services with respect to our IT and accounting systems, acting as data processors and are committed to respective privacy obligations and protection of personal data.
4. RETENTION PERIOD
We keep your personal data for as long as our business or employment relationship remains active. In the event that our interaction is not continuous, or our continuous relationship ends for any reason whatsoever, we shall keep your data for three (3) after our last concluded transaction. As an exception, personal data which are incorporated in accounting books and vouchers prescribed and kept in compliance with applicable legislation are kept for as long as it is provided by that applicable legislation; additionally any data related to existing, pending or potential claims between us, are retained until the issuance of a final court decision or lapse of prescription period.
After the lapse of the retention period, your personal data are destroyed. Any personal data which we may keep for marketing, information and promotion purposes, in accordance to the provisions of the applicable legislation, will be kept from us until you notify us that you do not wish to receive such information from us.
5. DATA SUBJECT RIGHTS

If you continue to believe that your rights with respect to the protection of your data are breached you may submit your complain to the Greek Data Protection Authority as the Competent Regulatory Authority in this respect (www.dpa.gr).
